Job Title: Document Controller

Location: Fujairah – UAE

Job Type: Full-Time

 

As the Document Controller, you will play a vital role in maintaining accurate and efficient document control processes, with a specific emphasis on utilizing SAP ERP for document management. Your diligence and experience with SAP ERP will contribute to the smooth operation of our manufacturing processes and compliance with industry standards.

 

Key Responsibilities:

1- SAP ERP Document Management:

  • Utilize SAP ERP software to manage the creation, storage, and retrieval of all company documents, including engineering drawings, technical documents, and quality control records.
  • Ensure documents are accurately labeled, categorized, and archived in accordance with established procedures.

2- Document Control Processes:

  • Establish and enforce document control policies and procedures to maintain the integrity and security of all documents.
  • Collaborate with various departments to identify document needs and facilitate document approval workflows.

3- Document Review and Revision:

  • Coordinate the review and revision of documents, ensuring that the latest versions are readily accessible to authorized personnel.
  • Monitor document change requests and update records accordingly.

4- Access Control and Security:

  • Maintain strict access controls for sensitive documents, ensuring that only authorized personnel can access, modify, or distribute them.
  • Implement security measures to protect confidential and proprietary information.

5- Document Retrieval and Distribution:

  • Respond to document retrieval requests promptly and efficiently.
  • Distribute documents to relevant stakeholders in a timely manner, ensuring version control is maintained.

6- Quality Control Compliance:

  • Ensure that all documents adhere to quality control standards and industry regulations.
  • Collaborate with quality control teams to verify document accuracy and compliance.

7- Archiving and Record Retention:

  • Maintain an organized and secure document archive system for historical records.
  • Facilitate the timely disposal of obsolete documents in accordance with company policies.

8- Reporting and Auditing:

  • Generate reports on document status, including overdue approvals and pending revisions.
  • Assist in internal and external audits related to document control.

 

Qualifications:

  1. Bachelor’s degree in Business Administration, Document Management, or a related field. Relevant certifications in document control are a plus.
  2. Proven UAE experience as a Document Controller, preferably in a manufacturing or industrial setting, with proficiency in SAP ERP document management.
  3. Strong knowledge of document control principles, standards, and best practices.
  4. Excellent organizational and time management skills, with meticulous attention to detail.
  5. Proficient in using document management software and Microsoft Office applications.
  6. Understanding of quality control and compliance requirements related to document management.
  7. Familiarity with document retention and archiving procedures.
  8. Ability to maintain confidentiality and handle sensitive information.
